Completing the data fields

Guidance for completing each of the data fields that make up a record.

The Data Fields begin with three mandatory fields. They have been made mandatory to ensure that Community Citizen Scientists remember to add the most important pieces of identifying information to their records whenever possible.

If you do not have one of these pieces of information, there is an option for 'none' or 'unknown' for each of these fields.

The Archive Record field is designed to help group records by type to make them more easily searchable. Select any of the drop down options that applies or chose 'none' or 'other' additional information you would like to add about the archive record type can be added to the further comments box.

The Place name field is intended to capture local knowledge. If there is a place name that you associate with your record, please enter it here.

The Source of the record field captures information about where the record comes from. If the record comes from a particular archive or museum collection you can add that information here. If it comes from a personal collection, you can state that and add the name of the person who has contributed the record.

The remaining fields are not mandatory but if you are able to complete them it will make your record more useful.

The Coastal change indicator type field helps to categorise the records by the type of coastal change they are evidence of. This should be the reason that you are adding the record to the archive. You may select more than one type of coastal change.

The Effects and drivers of change field should capture the reasons that the record is being included in the archive. Use this field to describe the types of coastal change that the record is evidence of whether it is an environmental, geographic or cultural change.

The Impact field should be used as a personal statement on the coastal change indicated by your record. Describe why you have decided to upload the record, what change or impact you are highlighting and why you think it’s important.

The Historical and climatic events field is used to note any historical events that might relate to your record. This may include: world wars, historic storms or extreme weather, political events, famous local news stories, etc. Start typing into the box to bring up existing examples in the database or add your own. If you are adding an option, please be careful not to duplicate existing options with alternate spellings or capitalisations.

The Further comments field can be used to add any additional data that you think is relevant to your record but is not captured in the other data fields.

Use the Key Words field to add associated terms to your record. This will add context and help your record become more easily searchable. Start typing into the box to bring up existing examples in the database or add your own. If you are adding an option, please be careful not to duplicate existing options with alternate spellings or capitalisations.
